To compress a PDF to 200 KB, open Compress PDF to 200 KB, drop in your file and click Compress PDF. The 200 KB target is already selected, so the tool lowers image quality step by step until the file fits, keeps text sharp, and tells you whether it reached 200 KB before you download. It is free, with no sign up and no watermark.
200 KB is the limit many portals use for a short document of 2 to 5 pages: a certificate with an annexure, a two page form, a signed letter. It is roomier than 100 KB but tighter than most phone scans. The steps below get you there on a computer or a phone.
How to compress a PDF to 200 KB (step by step)
- Open Compress PDF to 200 KB.
- Drop your PDF on the page, or tap to choose it. You can add several files at once, up to 100 MB each.
- Leave the target at 200 KB. If the portal asks for something else, pick 100, 300, 500 KB, 1 MB or type a custom size.
- If the document is black and white, turn on Grayscale. It often halves the size of a scan.
- Click Compress PDF.
- Read the result: new size, percentage saved, and a clear note saying whether 200 KB was reached.
- Download the file, or a ZIP if you compressed several.
On a phone the steps are the same in Chrome or Safari. The file goes to your Downloads folder, ready for the upload form.
How many pages fit in 200 KB?
It depends on what the pages are made of. Text created on a computer is tiny; scanned pages and photos take almost all of the space.
| Document type | Pages that usually fit in 200 KB |
|---|---|
| Typed PDF (Word or form export), no photos | 20 or more |
| Typed PDF with a logo and a signature image | 10 to 20 |
| Black and white scan, grayscale on | 3 to 6 |
| Colour scan of certificates or ID cards | 1 to 3 |
| Photos of documents taken with a phone camera | 1 to 2 |
These are typical results, not promises. A dense colour page with a photo uses far more than a page of plain text.
Scan settings that make 200 KB easy
The smaller the file you start with, the less quality the compressor has to remove. Before scanning:
- Scan at 150 to 200 DPI, not 300 or 600. Forms are read on screens, and 150 DPI is perfectly legible.
- Use grayscale or black and white for text documents. Colour triples the data for no benefit.
- Crop to the page. A phone photo with a table and a hand around the page wastes space.
- Use a scanner app, not the plain camera. Scanner apps flatten, straighten and clean the background, which also compresses better.
If you already have the scan, the tool does the equivalent for you: it resamples images and recompresses them until the target fits.
Why the text stays sharp
A PDF holds text as letters and shapes, and images as pictures. Text and vector graphics are tiny and are kept exactly as they are, sharp and searchable. Only the images and scanned pages are resampled, because that is where almost all of the size is. So a typed form comes out looking identical, and a scan comes out slightly softer but readable.
The tool counts 1 KB as 1024 bytes, which is how Windows and most portals show sizes. A file it reports under 200 KB is at most 204,800 bytes, so the portal will not reject it for being a few bytes over.
What if the PDF still will not go under 200 KB?
A long scan full of colour photos may not fit and stay readable. You then get the smallest readable version and a note. Try these, in order:
- Turn on grayscale if you have not already.
- Remove pages the form does not need, such as blank backs or instructions, with Delete PDF Pages.
- Split the document and upload the parts in separate fields, if the form allows it, with Split PDF.
- Rescan at 150 DPI in grayscale if you still have the paper.
- Check the limit again. Some forms accept 300 KB or 500 KB for the same field.
Common mistakes with 200 KB uploads
- Renaming a JPG to .pdf. The portal checks the file, not the name. Convert the image properly first.
- Compressing an already compressed file again and again. Each pass loses quality. Start from the original scan and compress once.
- Uploading a password protected PDF. Many portals cannot read encrypted files. Remove the password before compressing.
- Forgetting the signature. After compressing a signed page, zoom in and check the signature is still clear.
Need a different size?
The same tool has fixed pages for other common limits. Our guides explain each one: compress a PDF to 100 KB for single page certificates, 300 KB and 500 KB for longer files, and the general Compress PDF tool when there is no fixed limit.
Is it safe to compress documents online?
Files travel over an encrypted connection, are compressed on WoowPDF servers and are deleted automatically right after processing. They are never shared or kept. For very sensitive papers, remove pages you do not need to send before you compress.
Ready? Open Compress PDF to 200 KB, drop your file and get a PDF the form will accept.
Frequently asked questions
How do I reduce a PDF to 200 KB?
Open WoowPDF Compress PDF to 200 KB, drop the file and click Compress PDF. The 200 KB target is preselected and the result tells you whether the file fits before you download it.
How can I compress a PDF to 200 KB on my phone?
Open the same page in Chrome or Safari on your phone, tap to choose the PDF, keep 200 KB selected and tap Compress PDF. The compressed file saves to your Downloads folder, ready to upload.
Will compressing to 200 KB make my PDF blurry?
Text and vector graphics stay sharp because they are not changed. Only images and scanned pages are resampled, so scans come out slightly softer but readable.
Why is my PDF still over 200 KB?
It is usually a long colour scan. Turn on grayscale, remove pages the form does not need, or split the PDF into parts. Rescanning at 150 DPI in grayscale also helps a lot.
Is 200 KB counted as 200,000 or 204,800 bytes?
WoowPDF counts 1 KB as 1024 bytes, like Windows and most portals, so a file under 200 KB here is at most 204,800 bytes.
