To redact a PDF properly, you have to remove the sensitive content from the file itself, not just cover it with a black shape. Open the PDF in a real redaction tool, mark every name, number or passage you want gone, apply the redaction, save a new copy, and then check that the hidden text can no longer be selected, copied or found with search.
That last step matters more than most guides admit. Every year court filings, government reports and company documents leak private details because someone drew black rectangles over text that was still sitting underneath. This guide shows how to redact a PDF the right way, the mistakes that cause leaks, and how to do it free in your browser with WoowPDF Redact PDF, without uploading the file anywhere.
What redaction really means
A PDF page is made of layers: text, images, vector shapes, comments, form fields and a block of document information such as the title and author. When you place a black box on top, the text underneath is still in the file. Anyone can drag across it, copy it, search for it, or open the file in another program and move the box away.
True redaction deletes what is under the mark. After a correct redaction the words, numbers and images in that area no longer exist in the document, so there is nothing to recover.
| Method | Looks hidden | Content really removed | Safe to share |
|---|---|---|---|
| Black highlight or rectangle comment | Yes | No | No |
| Changing text color to black | Yes | No | No |
| Black shape in Word, then Save as PDF | Yes | No, the text is still exported | No |
| Cropping the page | Yes | No, cropped content stays in the file | No |
| A dedicated redaction tool | Yes | Yes | Yes, after you check it |
How to redact a PDF for free in your browser
WoowPDF's redaction tool works entirely in your browser. The PDF is never uploaded to a server, which is the safest option for contracts, medical records, ID scans and anything else you would not want to send to a stranger.
- Open Redact PDF and choose your PDF.
- Drag over each area you want to remove. You can move a mark, pull its corners to resize it, or use Whole page to remove an entire page's content.
- To save time, use Find and mark text. Type names, words or numbers, one per line, or pick a type of information: email addresses, phone numbers, card and account numbers, or web links. Every match is marked for you. Turn on Whole words only if a short term would also match inside longer words.
- Go through every page and check the marks. Automatic search only finds real text, so scanned pages need to be marked by hand.
- Choose the redaction color (black or white) and click Redact PDF.
- Download the new file and keep your original somewhere private.
Every page with a mark is rebuilt as an image with the marked areas burned in, so the text, vectors and pictures under them no longer exist. Metadata, bookmarks, attachments and scripts are not copied to the new file at all.
Optional settings worth knowing
- Quality of redacted pages: 150 dpi gives a smaller file, 300 dpi is best for printing.
- Remove comments, links and form fields: cleans the pages you did not redact too. Redacted pages never keep them.
- Keep redacted pages searchable (OCR): rebuilds a text layer from the redacted image, so the rest of the page can still be searched and copied. It is slower, and the removed text stays removed.
How to redact a PDF in Adobe Acrobat or Mac Preview
If you already pay for Adobe Acrobat Pro, open the file, choose the Redact tool, mark the text or areas, then apply the redactions and save under a new name. Acrobat also offers a step that removes hidden information such as metadata, which is worth running before you share.
On a Mac, recent versions of Preview include a Redact option in the Tools menu. Mark the areas, confirm, and save a copy. Whichever program you use, always run the checks below, because a missed confirm step leaves you with boxes that only look like redactions.
Common redaction mistakes that leak data
- Using highlight or shape tools. A black highlighter is a comment, not a redaction. The text stays selectable.
- Redacting in Word, then exporting. Shading or black boxes in Word do not stop the text from being written into the PDF.
- Forgetting the same detail elsewhere. A name you removed on page 2 may appear again in a header, a footer, a table or a signature block. Use search to catch every copy.
- Missing scanned pages. A scanned page is a picture, so text search will not find anything on it. Mark those areas manually.
- Leaving metadata behind. The author, title, subject and keywords can contain names or case numbers. After redacting, check them with the PDF metadata editor or strip them with Clean PDF.
- Giving away the answer in the file name. "Contract John Smith unredacted.pdf" undoes your work. Rename the file before you send it.
- Overwriting the original. Redaction cannot be undone, so always save a new copy.
How to check that your redaction worked
Take two minutes to test the file before it leaves your hands:
- Open the redacted PDF and try to select text inside a marked area. Nothing should highlight.
- Press Ctrl+F (Cmd+F on a Mac) and search for a removed name or number. It should not be found.
- Copy a whole page and paste it into a text editor. The removed words must not appear.
- Look at the document properties for a title, author or subject that still names someone.
- If you used OCR on the redacted pages, search again: only the text you kept should be found.
If any check fails, go back to the original and redact it again with a real redaction tool.
When to redact, and when to protect instead
Redaction is for sharing a document while hiding part of it: court and legal filings, freedom of information responses, HR files, invoices with bank details, medical letters, or an ID scan where only the photo and name should be visible.
If the person receiving the file is allowed to see everything and you only want to stop others from opening it, add a password instead with Protect PDF. For a full checklist on keeping documents safe, read our guide to securing your PDF files.

Frequently asked questions
Can redacted text in a PDF be recovered?
Not if it was redacted properly. A real redaction tool deletes the text, images and shapes under the mark, so there is nothing left to recover. Black boxes, highlights or black text color only hide the content, and anyone can copy it back out.
How do I redact a PDF for free without Adobe Acrobat?
Use a free redaction tool such as WoowPDF Redact PDF. Open your file, mark the areas or let it find names, emails, phone numbers and account numbers, then click Redact PDF and download the new copy. It runs in your browser, so the file is not uploaded.
Is it safe to redact a PDF online?
It depends on where the file goes. Many online tools upload your PDF to their servers. WoowPDF's redaction runs entirely in your browser, so the document never leaves your device, which is the safer choice for confidential files.
How do I redact a scanned PDF?
A scanned page is an image, so text search cannot find words on it. Draw marks over the sensitive areas by hand, then redact. If you want the rest of the page to stay searchable, turn on the OCR option so a new text layer is built from the redacted image.
Does redaction remove PDF metadata?
With WoowPDF Redact PDF, yes: metadata, bookmarks, attachments and scripts are not copied to the redacted file. With other tools, check the document properties yourself and remove any title, author or keywords that reveal private details.
Can I undo a redaction?
No. A proper redaction is permanent, which is the point. Always keep your original file in a safe place and share only the redacted copy.
