To compress a PDF to 500 KB, open Compress PDF to 500 KB, add your file and click Compress. The tool tests several quality and resolution settings, keeps the sharpest version that still fits under 500 KB, and tells you plainly whether the target was reached. It is free, with no sign up and no watermark.
500 KB is a mid sized limit, and it is usually set for files with several pages: full applications, resumes with certificates, project reports. This guide shows how to get those under the limit and keep every page readable.
Where do 500 KB PDF limits come from?
Job portals, university and scholarship applications, visa and government forms, and many company HR systems cap uploads at 500 KB. Smaller limits such as 100 KB or 200 KB are normally for a single certificate or ID; 500 KB is set when the portal expects a whole document, so the challenge is less the limit and more the number of pages you have to fit into it.
How to compress a PDF to 500 KB (step by step)
- Open Compress PDF to 500 KB. The target is already set to 500 KB.
- Add your PDF.
- Optional: turn on grayscale if the pages are black and white text. It saves a lot of space and keeps letters crisp.
- Click Compress. Large scans can take a minute or two because the tool tries several settings.
- Check the result line. Target 500 KB: reached means the file fits. Download it and upload it.
The tool keeps the result at or under 500 x 1,024 bytes, so it passes both portals that count 1 KB as 1,000 bytes and those that count 1,024.
How to plan a multi page PDF under 500 KB
The simplest way to think about a size limit is a budget per page: divide the limit by the number of pages.
| Pages | Budget per page | What usually fits |
|---|---|---|
| 1 to 2 | 250 KB or more | Colour scans stay sharp easily |
| 3 to 5 | 100 to 165 KB | Clear colour or grayscale scans |
| 6 to 10 | 50 to 80 KB | Grayscale scans work best |
| 11 or more | under 45 KB | Remove pages or split the upload |
Digital pages (exported from Word, Google Docs or a website) are mostly text and use only a few KB each, so a 20 page typed report often fits with room to spare. Scanned pages are pictures, and they are what eat the budget.
If your PDF mixes both, such as a typed resume followed by scanned certificates, the scans decide the final size. Turning on grayscale for black and white certificates is the single biggest win.
How the exact target size works
Most compressors give you fixed levels like Low, Medium and Strong. You guess, check the size, and try again, or get a file far smaller and blurrier than needed.
WoowPDF works from the limit instead:
- It compresses the images inside the PDF at different JPEG quality and resolution (DPI) combinations.
- It keeps the highest quality version that is still under 500 KB, ideally close to the limit rather than far below it.
- It stops early when compression stops helping, for example when the file is mostly text, fonts or vector drawings.
You get the sharpest file the portal will accept, on the first try.
What if the PDF will not go under 500 KB?
If the result says not reached, one of these is usually the reason:
- Too many scanned pages. Check the budget table above. Use Delete PDF Pages to drop pages the form does not ask for, like blank backs of certificates.
- The portal allows several files. Split PDF the document into parts and compress each one.
- Pages in a messy order or rotated? Fix them first with Organize PDF, so you do not compress pages you will delete later.
- Embedded fonts or detailed drawings. These do not shrink like photos. Export the PDF again from the original program, or print it to PDF.
- Already compressed. A file squeezed before has little left to remove; start from the original scan if you can.
For every setting in detail, see our guide on how to compress PDF files.
Different limit on your form?
The same target search is available for other common limits. Use Compress PDF to 300 KB for tighter caps (our 300 KB guide explains phone scans), or the main Compress PDF tool for any size from 10 KB to 100 MB. If a portal also sets a minimum and your file is now too small, Increase PDF Size raises it without changing a page.
Tips for a better result before you compress
- Scan at 150 to 200 DPI. Higher scan settings create huge files that then have to be squeezed hard. 150 DPI is plenty for reading on screen.
- Crop to the page. Desk edges and shadows are wasted pixels.
- Use good light. A clean, bright scan compresses far better than a dark, noisy photo.
- Combine first, compress last. If you are merging several files into one upload, merge them, then compress the final PDF once. Compressing each part and merging later can push the total back over the limit.
- Check the size the portal sees. On Windows, right click the file and open Properties; on a Mac, use Get Info. Compare that number with the limit before you upload.
Is it safe to compress a PDF online?
Target size compression needs real PDF processing, so it runs on our server, not in your browser. The file travels over an encrypted connection and is deleted as soon as your result is sent back. We keep no copies and share nothing. For very private documents, remove pages you do not need before compressing, so less personal data is sent at all.

Frequently asked questions
How do I make a PDF less than 500 KB?
Open WoowPDF's Compress PDF to 500 KB, add the file and click Compress. It searches quality and resolution settings and returns the best looking version that fits under 500 KB, with no need to guess compression levels.
How many pages can fit in a 500 KB PDF?
Typed, digital pages are tiny, so dozens can fit. Scanned pages are images: around 5 to 10 grayscale scanned pages usually fit, while more than that needs removing pages or splitting the file.
Will compressing to 500 KB make my PDF blurry?
Usually not. 500 KB leaves enough room for clear scans of a few pages, and the tool keeps the highest quality that fits. Text in digital PDFs is not affected at all.
Is 500 KB the same as 0.5 MB?
Close but not exact: 0.5 MB is 512 KB when counted in 1,024 byte units. The tool keeps files at or under 500 x 1,024 bytes, so they pass either way of counting.
Are my files kept after compression?
No. Files are deleted as soon as the compressed result is returned, and they are never shared.
